Participation and Liability Waiver Declaration

By registering for Sandras Ultra Trail and/or receiving your race kit, you declare that you have read, understood, and unconditionally accept the participation and liability provisions on this page.
This waiver declaration consists of the following headings:

1. Purpose and Scope
This Participation and Liability Waiver Declaration aims to inform participants of all courses organized under the name Sandras Ultra Trail (70K, 50K, 24K, 5K, and other distances that may be added later by the organization) about:
- The nature of the course and its associated risks,
- Clarification of responsibilities regarding their health status,
- Explanation of the limits of the organization's responsibility,
- Obtaining consents regarding race rules, safety, photo-video usage, and personal data processing
This text forms the basis of the waiver form that is accepted electronically during online registration and with a wet signature during pre-race kit distribution.
2. Course Nature and Risks
The participant acknowledges that Sandras Ultra Trail courses are:
- Nature runs held on mountainous, rugged, and technical trails,
- Under rapidly changing weather conditions (heat, cold, rain, fog, wind, etc.),
- Ultra distances requiring prolonged physical effort,
and may include the following risks:
- Falling, slipping, collision, sprain, fracture, dislocation, muscle-joint injuries,
- Extreme fatigue, exhaustion, cramps, dehydration, hyperthermia/hypothermia,
- Cardiovascular disorders, respiratory problems,
- Accidents caused by natural obstacles such as stones, rocks, branches, pits, or other participants,
- Encounter with wild animals, insect bites, allergic reactions,
- Possibility of delay in reaching rescue teams due to trail structure and communication infrastructure.
The participant accepts in advance that they participate in the race knowingly and of their own free will.
3. Health Status and Participant Responsibility
The participant accepts and declares that:
- They are in a health condition suitable for participating in the race, have consulted their doctor if necessary, and have undergone required medical checks,
- They are obligated to declare all chronic conditions (cardiovascular diseases, respiratory problems, neurological diseases, diabetes, etc.), regularly used medications, and known allergies accurately and completely in the registration form,
- They agree to present the athlete's license or doctor-approved health report requested by the organization,
- Monitoring their own condition, fatigue level, and health before, during, and after the race is entirely their own responsibility
Responsibility for any health problems arising from false or incomplete declarations belongs to the participant.
4. Limits of Organization's Responsibility
The participant accepts that they release and hold harmless the institutions organizing Sandras Ultra Trail, the organization committee, staff, volunteers, sponsors, and all third parties collaborating with them from:
- Accidents, injuries, illnesses, loss, damage, material-moral damages that may occur during or after the race,
- Theft, loss, or damage of personal belongings,
- Changes, shortening, postponement, or cancellation of the course due to developments beyond the organization's control such as weather conditions, natural disasters, official authority decisions
except for cases of intent or gross negligence, and waives all compensation and claim rights in this context.
5. Obligation to Comply with Race Rules
The participant accepts that:
- They have read the Race Rules published on the website, course and mandatory equipment lists, race day briefings, and organization announcements,
- They will comply with the instructions of referees, officials, and security forces throughout the race,
- They will carry mandatory equipment completely and accept being subject to equipment checks when required,
- They will comply with course markings, nature conservation rules, and all rules respecting traffic and the peace of the local community
The organization reserves the right to warn the participant, impose time penalties, disqualify from the race, or not accept in future years in case of rule violations, missing mandatory equipment, environmental damage, or endangering another athlete.
6. Photo, Video, and Media Usage Rights
The participant accepts that:
- They may appear in all photos, videos, and similar audiovisual recordings taken by the organization or on behalf of the organization before, during, and after the race,
- These recordings may be used by Sandras Ultra Trail and related institutions for race and region promotion purposes on social media, websites, printed materials, promotional films, and similar digital/traditional media without any time or media restrictions,
- They will not claim any name, copyright, or material rights in return for these uses
They accept these conditions.
7. Emergency, Medical Intervention, and Evacuation
The participant accepts that in case of an accident or health problem on the course or in the race area:
- They consent to first aid intervention by the organization's health teams and officials,
- If deemed necessary, they consent to evacuation to the nearest health facility by land/ambulance/search-rescue vehicles,
- They consent to the implementation of medical interventions deemed necessary by doctors
The organization clearly states that assistance and evacuation processes may be prolonged due to the region's geographical conditions, access difficulties, weather conditions, and limited communication opportunities, and this should be evaluated within the scope of the participant's risk acceptance.
8. Participants Under 18 Years
Participants under 18 can only participate in Sandras Ultra Trail courses in distances deemed appropriate by the organization and under the following conditions:
- Presentation of a Parental Permission Form signed by their parent or legal representative during registration,
- Additional signing of this waiver form by the parent/legal representative during race kit distribution,
- Compliance with additional security rules determined by the organization.
The parent or legal representative is deemed to have accepted all responsibility and waiver provisions in this text both on their own behalf and on behalf of the participating child/adolescent.
9. Processing of Personal Data
The identity, contact, health declaration, and race performance data shared by the participant in the registration form are processed and stored only for:
- Ensuring race participation,
- Security and health planning,
- Fulfilling legal obligations,
- Announcing and documenting race results
within the framework specified in the KVKK Clarification Text. The participant accepts that they can review details about their rights under KVKK and data processing processes through the "KVKK Clarification Text" on our website.
10. Effectiveness and Acceptance
This Participation and Liability Waiver Declaration becomes effective:
- Upon the participant's approval of the online registration form,
- Upon signing the waiver form with a wet signature during race kit distribution
The organization reserves the right to make changes to the text when deemed necessary. The current text is always the version published at sandrasultra.org. The participant is obligated to check this page before participating in the race.
